Set the workflow up once, in the AI agent you already use

You: When an invoice goes past due in Stripe, chase the customer until it is paid. Start polite, escalate if there is no reply, and bring me anything that needs a decision.

Claude: I will set this up in Askpilot as a workflow, so it runs on its own rather than waiting for us to talk again.

Invoice chasing, PROCESS.md. Trigger: An invoice goes past due in Stripe. Todos: Name the run after the invoice. Check what is owed and how late it is. Send the first reminder. Chase until it is paid. Rules. Stop: the invoice is paid or written off. Escalate: after five reminders with no reply, to the account owner.

Claude: That is live now. Askpilot is listening to Stripe, and every overdue invoice gets its own run.

Askpilot runs the workflow end to end

Session: Northgate Ltd · INV-4021. Invoice past due, so Askpilot started Invoice chasing. Process: Check the invoice and what was already sent. Send the first reminder with a payment link. Follow up until it is paid. Hand it to the account owner.

Checking the invoice in Stripe and what we have already sent them. £2,480.00, 17 days overdue. Their card was declined on the last attempt and no reminder has gone out yet, so I am starting from the first step.

Sending the first reminder, using the approved template. Reminder sent: emailed accounts@northgate.co.uk with the invoice attached and a payment link, and asked for a date if they cannot settle this week.

Setting up the follow-ups, so nothing slips if they do not reply. Follow-ups scheduled: I am watching the billing inbox and Stripe for a reply or a payment. If nothing arrives, the next reminder goes out in three working days, up to five in total.

Making sure someone picks this up if the reminders do not work. Handover set: if all five reminders go unanswered, this goes to the account owner with everything that has been sent.
